Spare Parts Coordinator and Parts Mileage Specialist

Scope and Perimeter

  • Participate at race- and test-events according to the team’s calendar

  • Be part of the operational trackside- and pitstop-crew in case
  • Operate in the WRT headquarters parts store area
  • Report to the Team’s Crew Chief and in matrix to the Team Manager

Key Responsibilities

Parts Inventory Management

  • Maintain accurate, auditable inventory of all spare parts, assemblies and consumables
  • Operate stock control procedures (min/max levels, locations), manage replenishment and cycle counts
  • Receive, inspect and store inbound and outbound parts in liaison with the shipping and receiving group
  • Prepare and issue parts, parts packages and pre-assemblies for race- and test events and car- and parts-built
  • Develop KPIs, dashboards and SOPs to reduce failures, improve uptime and optimize spare parts holdings

Parts mileage & lifecycle tracking

  • Operate BMW parts mileage/usage database software, linking chassis/part serial numbers to hours, kilometers, cycles and events
  • Maintain and apply wear-life rules, service intervals and retirement criteria for critical components
  • Produce reports on part-life consumed, projected remaining life and forecast replacements
  • Ensure traceability of homologated parts per FIA WEC regulations
  • Manage documentation for scrutineering and technical audits
  • Maintain records for warranty, supplier returns and homologation updates.

Supplier & procurement coordination

  • Work with procurement and suppliers to expedite critical spares, manage lead times, and support cost control
  • Coordinate repairs/refurbishment with in-house techs and external vendors
  • Manage parts turnaround priorities

Communication & collaboration

  • Liaise with engineers, mechanics, logistics, team management and BMW technical staff to align spare parts strategy to program needs.
  • Prepare inventory, cost and mileage reports for project operations staff and management
  • Support budget forecasting

Required Qualifications & Competencies

Professional skills and experience

  • 3 – 5+ years’ experience in motorsport spare parts, race logistics, military/aviation logistics or automotive OEM logistics. Preferably in endurance racing championships such as the IMSA Sportscar Championship, FIA World Endurance Championship, or similar high-level motorsport series. Familiarity with BMW Motorsport operational structures would also be beneficial.
  • Demonstrable experience with parts lifecycle/mileage tracking and inventory control for high-value components
  • Strong working knowledge of FIA/WEC/IMSA technical and scrutineering requirements desirable
  • Proficient with inventory/ERP systems.
  • Familiarity with barcode/RFID, databases and Excel (advanced).
  • Understanding of hybrid energy management systems in modern prototype racing.
  • Experience working within global organizations like Team WRT

Communication

  • Excellent communication skills with mechanics and engineers
  • Professional English required; German and/or French is considered an advantage.

Organizational Skills

Strong planning and logistical coordination capabilities

Experience managing complex spare parts logistics.

Personal Attributes

  • Highly resilient and able to perform under competitive pressure
  • Valid driver’s license, passport and willingness to travel extensively and work irregular hours during race weekends, test days, pre/post-season logistics session
  • Manual handling of parts (lifting up to ~25 kg with assistance for heavier items)
  • Work in mixed offices, warehouses and workshop environments, sometimes in loud or crowded pit areas
  • Excellent organizational skills and attention to detail under pressure
  • Strong analytical skills; able to translate telemetry/chassis data into life/usage metrics
  • Problem-solver with hands-on mindset
  • Team player, flexible schedule, able to work long shifts during race weeks.
  • Strong commitment to professionalism and operational excellence
